Privacy Policy

This Privacy Policy explains what information Idea Studios collects, how we use it, who we share it with, and the rights you have over your data. Idea Studios operates the website at ideastudioz.com and the recording facility in Honolulu, Hawaii.

1. What we collect

Booking information

When you book a recording session, we collect your full legal name, email address, phone number, and the package, date, and time you select. This information is required to hold the session on the calendar and to contact you about your booking.

Identity verification

For Studio C self-serve bookings, you complete identity verification through Stripe Identity. Stripe collects and holds your government-issued photo ID and a selfie. Idea Studios does not store the ID document itself. We receive only the verification result (pass or fail), the verified legal name, and a verification session reference. Stripe’s privacy policy governs how Stripe handles your ID: stripe.com/privacy.

Payment information

Payments are processed by Stripe. Your full payment card information goes directly to Stripe and never touches Idea Studios servers. We retain only a tokenized reference to your payment method, the charged amount, the payment status, and the transaction date. We use this reference, when authorized by you in the Studio Use Agreement, to charge overtime fees, cleaning fees, and documented damage.

Signed agreements

When you electronically sign the Studio Use Agreement, we capture your typed full legal name, the agreement version, the timestamp of signing, your IP address, and your browser user-agent string. This information is required to make the signature legally binding under the federal Electronic Signatures in Global and National Commerce Act (ESIGN Act) and the Hawaii Uniform Electronic Transactions Act.

Website usage

The site uses standard WordPress cookies for logged-in users and session management. We do not run third-party analytics, advertising, or behavioral tracking. Your server log entries (IP address, request time, browser user-agent) are retained for security and incident documentation per standard web hosting practice.

2. How we use your information

The information we collect is used only for the following purposes:

  • Confirming and managing your studio booking
  • Sending booking confirmations, reminders, and post-session follow-ups
  • Verifying your identity for Studio C self-serve access
  • Processing payment and any authorized post-session charges (overtime, cleaning, damage)
  • Creating and emailing your signed Studio Use Agreement PDF
  • Documenting incidents for insurance, legal, and security purposes
  • Responding to inquiries you submit through our contact form

We do not sell your information. We do not share your information for advertising or marketing purposes outside Idea Studios.

3. Who we share your information with

We share specific data with service providers that are necessary for us to operate the studio:

  • Stripe (payment processor and identity verification): receives your card data, identity verification submission, and the booking metadata required to verify and charge.
  • Zoho Mail (transactional email provider): handles delivery of booking confirmations and signed agreement PDFs sent to your email address.
  • Cloudways (web hosting provider): operates the servers that host this website. Your server log entries pass through their infrastructure.

We may also share information when required by law (subpoena, court order, law enforcement request) or when necessary to investigate an incident at the studio (theft, damage, threats to safety).

4. How long we keep your information

  • Booking records, signed agreements, IP, user-agent: retained for not less than three (3) years for incident documentation, insurance, and legal compliance.
  • Payment records: retained per Stripe’s standard retention policy and our financial bookkeeping requirements (typically 7 years for tax purposes).
  • Identity verification result: the pass/fail result and verified name are retained with your booking record. The underlying ID document is not retained by Idea Studios (Stripe handles retention).
  • Server logs: standard rolling 90-day retention.
  • Email correspondence: retained indefinitely unless you request deletion.

5. Your rights

You have the right to:

  • Request a copy of the personal information we hold about you
  • Request correction of any inaccurate information
  • Request deletion of your personal information, subject to our legal and contractual record-keeping obligations (signed agreements and financial records cannot be deleted within the retention periods listed above)
  • Withdraw consent for future marketing communications at any time
  • File a complaint with the appropriate data protection authority in your jurisdiction

6. Security

The site runs over HTTPS with a TLS 1.2+ certificate. Payment data is processed by Stripe, a PCI Service Provider Level 1 certified provider. Identity verification is processed by Stripe Identity. Server-side data is hosted on a managed Cloudways server with disk encryption, regular backups, and a hardened web application firewall.

7. Data breach response

If we become aware of a security incident affecting your personal information, we will notify you by email within 72 hours of discovery, in accordance with state and federal breach notification requirements.

8. Children

Idea Studios is intended for adult users. Studio bookings require the renter to be 18 years of age or older. If a parent or legal guardian counter-signs the Studio Use Agreement for a session with minors present, we collect the parent or guardian’s name and signature with the same retention and protection as the renter’s data.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised “Last updated” date at the top. Continued use of the site or services after a policy update constitutes acceptance of the updated policy.
